How Phone Booking Works — the Calendar Inside Your AI Assistant

One of the most-used features of an AI Assistant is booking appointments directly during a phone call — no form, no text message with a link, no callback needed. This article walks through how that actually works under the hood, from the caller's question to the entry in your calendar.

Step 1: you set availability

In the client panel, you define which days and hours the assistant can book appointments and how long a single slot is (say, 30 or 60 minutes). These settings hold consistently — the assistant will never offer a time outside the hours you've set, no matter when someone actually calls.

Step 2: the call

When a caller asks to book an appointment, the assistant checks in real time which slots are still free and offers actual, available times — not a vague "we'll check and call you back." Once a time is chosen, the assistant confirms the details (name, phone number, and the reason for the visit if relevant) and ends the call with a clear confirmation.

Step 3: the booking lands in your panel — and, optionally, Google Calendar

Right after the call, the booking appears in the calendar in your client panel, ready to review. If you connect your Google account, the same booking is automatically added to your personal Google Calendar too — and it works both ways: if you already have something scheduled manually in Google Calendar, the assistant sees that it's busy and will never offer that same slot to a caller.

A booking made by phone at 10pm is waiting in the calendar the next morning — with nobody having to type it in.

Standard vs Premium: one calendar or several

The Standard plan runs one shared calendar for the assistant. If you handle several specialists under one number — a clinic with a few doctors in different specialties, say, or a salon with several stylists — Premium lets you configure a separate calendar for each one, with its own availability hours. The assistant then asks the caller who they'd like to book with and checks that person's availability.

Managing bookings

Every booking shows up in the panel with the caller's contact details — you can cancel it if plans change, and that cancellation automatically syncs back to Google Calendar if you've connected your account. The panel also shows a simple visual month view, so you don't need to scan a text list to see how a day is booked.

This feature is available on both plans from day one — there's nothing extra to activate. Just set your availability hours in the assistant's configuration.
