AI Assistant for Clinics — Booking Appointments Without the Phone Queue

In clinics and medical practices, the phone tends to ring exactly when staff are busy with a patient at the desk or in a room. The result: a patient waits on hold, or worse, gives up and calls another practice instead. A Voice AI Assistant takes over the first phone contact without taking up medical staff's time.

Booking appointments

A patient calling about an available slot gets an answer immediately — the assistant checks the calendar and books the appointment on the spot, with no transfer needed. The booking is added automatically to the calendar in the panel (and, optionally, Google Calendar), so staff see it right away with nothing to re-enter.

Multiple specialists, one number

A clinic with several doctors in different specialties can, on the Premium plan, set up a separate calendar for each one — the assistant asks the patient which specialist they want to see and checks that person's availability, instead of mixing every slot into one shared schedule.

Answering the questions that repeat all day

A large share of calls to medical practices are questions that repeat dozens of times a day: opening hours, whether a referral is needed, what documents to bring, where to park. The assistant answers these from a knowledge base you configure in the panel — and if it hits a question it doesn't know the answer to, it never guesses in a context as sensitive as health: it honestly says it doesn't have that information and logs the question in the panel so your practice can add it.

In a medical context, an honest "I don't know, let me check" matters more than a fast but uncertain answer — and that's exactly how our assistant behaves.

Urgent situations

A practice can define its own alert categories — severe pain, or a request for an urgent consultation, for example. When the assistant recognises one of these during a call, it immediately sends an email notification and, if a staff member's phone is online at that moment, an in-app alert too — before anyone has even answered the call.

Live transfer to reception

If something needs a human conversation — rescheduling for an unusual reason, a question about results, an administrative matter — a patient can simply ask, and the call gets transferred live to a designated reception staff member's mobile app.

For practices with heavy call volume, this is a direct cut in patient wait times and less interrupted work for staff — with no change to the practice's existing phone number.
