AI Assistant vs a Receptionist — What a Missed Call Really Costs

The phone rings, nobody picks up, the caller hangs up and dials your competitor instead. It's the simplest way a small or mid-sized business loses a customer — and one of the least-tracked costs on the books. This article walks through two real paths: hiring someone to answer the phone, and deploying a Voice AI Assistant, with numbers you can check for yourself.

What a receptionist costs — roughly

A full-time receptionist or office assistant in Poland in 2026 costs, roughly and illustratively (not as a precise market statistic, just a reference point for the calculation below), an employer around PLN 5,500 a month in total cost — salary plus employer social security contributions. Over a year that's roughly PLN 66,000.

Estimated yearly cost of one full-time role

Salary plus employer contributions, full-time, 12 months:

~PLN 66,000 / year

What doesn't show up on a payslip: a receptionist works set hours. Outside them — evenings, weekends, on holiday, on sick leave — the phone either rings unanswered, or gets picked up by whoever happens to be free from other work.

What an AI Assistant costs

The Standard plan is PLN 99 a month, including 1,000 call minutes (overage is billed automatically at PLN 0.35/minute — the service never stops working). Buy a 12-month licence upfront and the price drops to PLN 990 for the full year. The Premium plan (PLN 199/month, no minute limit, choice of a landline or mobile number, multiple calendars under one number) is PLN 1,990 for 12 months.

Yearly cost of a Standard licence

One licence, 12 months, paid upfront:

PLN 990 / year

Side by side, a year of Standard costs a little over 1.5% of that illustrative yearly employment cost. That's not an apples-to-apples comparison, though — and it's worth saying so plainly.

Why it isn't a 1:1 replacement

An AI Assistant doesn't make coffee for guests, file paperwork, or manage inventory. What it does do — around the clock, every day, with no holidays or sick days — is handle the first phone contact: it answers the call, responds using what it knows about your business, books an appointment in the calendar, and when a caller asks for a person, transfers the call live to a staff member's phone app. If it doesn't know something, it never guesses — it tells the caller honestly and logs the question in your panel as a knowledge suggestion.

In other words, this isn't "a receptionist at 1.5% of the price." It's a tool that removes the single most expensive moment in phone support — the one where the phone rings and nobody answers — and takes repetitive questions off your team's plate, leaving people free for the calls that actually need a human.

Do the math for your own business

To make this real for your business rather than a generic example, three numbers matter: (1) how many calls a month actually go unanswered — check your carrier's billing or just count for a week, (2) what a typical call is worth to you (a new client, a booking, a job), (3) how many of those calls actually need a human versus questions that could be answered automatically (opening hours, pricing, available slots). The more of the third category, the faster a Standard licence pays for itself — often after recovering just one deal a month.

A call nobody answers isn't free — the cost just never shows up on an invoice.

What to choose in practice

Many businesses combine both: the team handles what needs a human and a decision, while the AI Assistant answers the first question, qualifies the call, books a time, or transfers the call live when a caller asks for one. It's rarely an either-or choice — it's adding the missing first link that, in a lot of businesses today, simply doesn't exist outside office hours.
