Google Calendar Integration — How It Actually Works

The calendar built into the AI Assistant panel works fine on its own — but for a lot of businesses, the real value shows up once you connect it to the calendar they already use every day. Google Calendar integration works both ways, and it's usually the second direction that makes the difference.

Direction one: bookings flow into Google

When the assistant books an appointment during a call, the event appears automatically in your Google Calendar — with the caller's name, phone number, and the reason for the call in the description. Nothing needs retyping; it happens within seconds of the call ending.

Direction two: Google protects against double-booking

This is the part that actually solves a real problem for a lot of businesses: if you've already put something in Google Calendar manually — a meeting, a trip, blocked-off hours — the assistant sees that you're busy and will never offer that slot to a caller. The system checks availability live, so there's no need to remember to "block off" time in two separate places.

In practice

You add a 10am–12pm meeting to Google Calendar manually.

The assistant automatically skips that window for phone bookings.

How to connect it

You connect your account in the calendar section of a specific assistant's editor — you sign in through the standard Google authorisation screen and approve access. From that point on, syncing happens automatically in the background, with nothing further to manage.

What happens on cancellation

If you cancel a booking the assistant made — in the panel or the mobile app — the change syncs back to Google Calendar automatically. If instead you delete or move the event directly in Google, the system picks that up at the next sync (every few minutes) and updates availability accordingly.

Two calendars stop drifting apart, because in practice they behave as one.

Who benefits most

The integration matters most when the same person (or specialist) has things scheduled outside the system — private appointments, trips, other commitments — that already live in Google Calendar. Instead of keeping two separate calendars in sync by hand, you only need to maintain one; the rest happens automatically.

The feature is available to every assistant regardless of plan — Standard and Premium have exactly the same access to it; the only difference is how many calendars/specialists you can run.
